5. STUDENT PRIVACY AND FERPA-ALIGNED PRACTICES

Mrs. Orris PSEA is an independent educational advising practice and is not itself a school or educational institution. However, we follow student-privacy and confidentiality practices consistent with the principles of the Family Educational Rights and Privacy Act (“FERPA”) when handling student educational information.

When Mrs. Orris PSEA receives education records while performing services for a school, educational institution, or other FERPA-covered organization, those records will be handled according to the applicable agreement, authorized purpose, and legal requirements governing their use and disclosure.

When a Student is under 18, a parent or legal guardian may receive access to advising records, meeting reports, shared folders, assignments, and service-related communications.

When a Student turns 18, or attends a post-secondary institution at any age, privacy rights associated with education records generally transfer to the Student under FERPA. Consistent with those principles, Mrs. Orris PSEA may require an adult or post-secondary Student’s authorization before sharing advising records, shared files, meeting information, or communications with a parent, family member, employer, or other third party.

Payment for an adult Student’s services does not automatically give the Purchaser access to the Student’s confidential advising information.

6. SHARED FOLDERS, APPLICATION TRACKERS AND CREDENTIALS

Mrs. Orris PSEA may create a shared Google Drive folder or College Application Tracker for a Student and family. Access may be provided to the Student, Purchaser, parent, legal guardian, or another individual authorized by the Client or Student.

At the Student’s or parent’s request, Common App and individual college-portal credentials may be recorded in the College Application Tracker. The Student and family authorize Mrs. Orris PSEA to maintain this information and remain responsible for the security and proper use of each account.

Credentials will not be used by Mrs. Orris PSEA to access an account without the Student’s or parent’s knowledge and authorization.

The Student remains responsible for reviewing and personally submitting all applications, certifications, attestations, enrollment forms, and official materials.

Clients are responsible for protecting access to their email accounts, shared folders, documents, and devices. They should promptly notify Mrs. Orris PSEA if they believe a shared folder, document, account, or credential has been accessed without authorization.

7. PAYMENT PROCESSING

Payments may be processed through Stripe or another authorized payment processor.

Payment processors may collect the Client’s name, billing address, email address, telephone number, payment-card information, banking information, device information, and transaction details according to their own terms and privacy policies.

Mrs. Orris PSEA generally receives transaction confirmations, limited payment-method details, payment status, billing contact information, and information needed to manage invoices or payment plans. We do not directly receive or store complete payment-card numbers.

8. ARTIFICIAL INTELLIGENCE-ASSISTED TOOLS

Mrs. Orris PSEA may use artificial intelligence-assisted tools, including ChatGPT and Claude, depending on the nature of an assignment or service.

These tools may support research, brainstorming, organization, drafting, editing, summarization, curriculum development, quality review, and other administrative or educational tasks.

AI-assisted tools support—but do not replace—the professional judgment, personal advising, and human review provided by Mrs. Orris PSEA. AI-generated material may contain errors, omissions, outdated information, or inaccurate conclusions. AI-assisted work is reviewed and, when appropriate, revised before being provided to a Client or Student.

Depending on the assignment, information processed through an AI-assisted tool may include portions of academic resumes, activity descriptions, essays, application materials, or other educational information. Mrs. Orris PSEA will use reasonable care to limit the information provided to what is relevant for the task.

We will not intentionally submit Social Security numbers, complete financial-account numbers, payment-card information, StudentAid.gov credentials, authentication codes, medical records, or similarly sensitive information to an AI-assisted tool.

Information submitted to an AI provider may be processed according to that provider’s terms, privacy policy, account settings, security practices, and data-retention rules.

A Client or adult Student with a specific concern about the use of AI involving their information may contact Mrs. Orris PSEA in writing to discuss available limitations or alternatives.

9. COOKIES, ANALYTICS AND TRACKING TECHNOLOGIES

Our website is hosted through Wix and uses cookies, pixels, scripts, local-storage technologies, and similar tools to operate the website, remember preferences, maintain security, understand website use, and evaluate communications or marketing.

Our website currently uses or may use:

  • Wix website, analytics, security, and operational technologies;

  • Meta/Facebook Pixel;

  • Google Reviews or related website components;

  • Email engagement technologies; and

  • Other necessary, functional, analytics, or marketing technologies.

These technologies may collect IP addresses, device and browser information, page views, website interactions, referring pages, approximate location, cookie identifiers, and similar usage information.

The Meta/Facebook Pixel may allow Meta to receive information about a visitor’s device and interactions with our website. Meta processes this information according to its own privacy terms and account settings.

Website visitors may manage certain cookies through an available cookie-consent tool, browser settings, device settings, or applicable provider controls. Blocking cookies may affect the operation of certain website features.

Browser-based “Do Not Track” signals are not interpreted consistently across the industry. We respond to legally required browser-based opt-out preference signals when applicable and technically supported.

10. HOW WE DISCLOSE INFORMATION

Mrs. Orris PSEA does not sell personal information for monetary payment.

We may disclose personal information:

  • To the Student, Client, parent, guardian, or another authorized person;

  • To Wix, Stripe, Google, Calendly, Zoom, email providers, cloud-storage providers, AI providers, analytics providers, and other companies supporting our services and operations;

  • To accountants, attorneys, insurers, consultants, or professional advisors;

  • To schools, colleges, universities, application platforms, scholarship providers, or other organizations when authorized by the Client or Student;

  • To comply with a subpoena, court order, law, regulation, or legal process;

  • To protect the rights, property, accounts, systems, or safety of Mrs. Orris PSEA, a Client, a Student, or another person;

  • To investigate suspected fraud, security incidents, unlawful activity, or violations of our Terms; or

  • In connection with a lawful business transfer, reorganization, merger, sale, or succession, subject to applicable privacy obligations.

We do not rent email lists or disclose personal information to unrelated third parties for their independent direct-mail or email-marketing campaigns.

Some analytics and advertising technologies, including Meta Pixel, may be considered “sharing,” “targeted advertising,” or a similar regulated activity under certain state privacy laws. Individuals may contact us to ask about available opt-out options.

11. NEWSLETTERS AND MARKETING COMMUNICATIONS

Individuals may voluntarily subscribe to newsletters and educational updates.

Marketing emails may contain technologies that report whether a message was opened or a link was selected. We may use this information to evaluate engagement and improve our communications.

Subscribers may opt out at any time by:

  • Selecting the unsubscribe link included in an email; or

  • Contacting mrs.orrispsea@gmail.com with the email address to be removed.

Unsubscribing from marketing communications does not prevent us from sending necessary service-related communications, including appointment notices, payment information, document feedback, or messages concerning an active Client relationship.

We may retain limited suppression-list information to ensure that an unsubscribe request continues to be honored.

12. DATA RETENTION

Advising records and shared files are generally retained for three years after the applicable services end.

Different information may be retained for a shorter or longer period when reasonably necessary to:

  • Provide or complete the purchased services;

  • Maintain transaction, payment, tax, accounting, and business records;

  • Enforce an agreement;

  • Resolve a dispute;

  • Establish, exercise, or defend legal claims;

  • Maintain security and fraud-prevention records;

  • Honor communication preferences; or

  • Comply with legal, insurance, contractual, or professional obligations.

When information is no longer reasonably required, we may delete, anonymize, or securely dispose of it.

Information contained in system backups may remain until the applicable backup is overwritten or deleted through the ordinary backup cycle.

Clients should download any materials they wish to retain before their shared-folder access ends or the applicable records are deleted.

13. DATA SECURITY

Mrs. Orris PSEA uses reasonable administrative, organizational, and technological measures designed to protect personal information from unauthorized access, disclosure, alteration, loss, or misuse.

These measures may include access controls, password protection, account authentication, limited folder permissions, software updates, secure payment processing, and the use of established technology providers.

No method of internet transmission, email communication, cloud storage, or electronic processing is completely secure. Absolute security cannot be guaranteed.

If we become aware of a data-security incident affecting personal information, we will investigate and provide legally required notices when applicable.

14. PRIVACY RIGHTS AND CHOICES

Depending on the individual’s location and applicable law, a person may have the right to request:

  • Confirmation of whether we maintain their personal information;

  • Access to certain personal information;

  • Correction of inaccurate information;

  • Deletion of certain information;

  • A copy of certain information in a portable format;

  • Withdrawal of consent when processing is based on consent;

  • An opt-out from certain targeted-advertising or data-sharing activities; or

  • Review of a decision concerning a privacy request.

These rights are not absolute. We may retain information when reasonably necessary to complete services, maintain payment or business records, protect security, comply with law, enforce agreements, or establish or defend legal claims.

A privacy request may be submitted to mrs.orrispsea@gmail.com with the subject line “Privacy Request.”

The request should identify the person making the request and describe the information or action requested. We may take reasonable steps to verify the requestor’s identity and authority before providing, correcting, or deleting information.

A parent or legal guardian may submit a request concerning a minor Student. An adult Student may be required to authorize a parent or other person to submit a request on the Student’s behalf.

We will not unlawfully discriminate against an individual for exercising an applicable privacy right.

15. CHILDREN’S PRIVACY

Our educational-advising services may serve Students in grades 6–12, but children under 13 may not independently submit forms, subscribe to communications, create accounts, purchase services, or provide personal information through our website or service platforms.

A parent or legal guardian must provide the information, purchase or authorize the services, and consent to the child’s participation.

If we learn that personal information was collected online directly from a child under 13 without appropriate parental authorization, we will take reasonable steps to delete it or obtain the required authorization.

A parent or legal guardian may contact us to request access to, correction of, or deletion of personal information concerning their child, subject to applicable legal and record-retention requirements.

16. THIRD-PARTY WEBSITES AND SERVICES

Our website, communications, and advising materials may contain links to colleges, universities, application platforms, testing organizations, scholarship providers, financial-aid services, social-media platforms, and other third-party websites.

Mrs. Orris PSEA does not control the privacy, security, accessibility, accuracy, or data practices of those third parties. Visiting or using a third-party service is subject to that provider’s terms and privacy policy.

Clients and Students should review the privacy practices of any third-party platform before creating an account or submitting personal information.

We may update this Privacy Policy periodically to reflect changes in our services, technology, business practices, or legal obligations.

The effective date and last-updated date at the beginning of this page identify the current version.

Material changes may be communicated through the website, email, a shared folder, or another reasonable method when appropriate or legally required.
